Understanding Call Routing

What is a phone menu (IVR)?

A phone menu greets callers and routes them to the right team—"Press 1 for Sales, Press 2 for Support." Design your call flow visually with Phone2. No hardware or IT required.

Getting Started

Set up call routing in 3 steps

No IT department needed. No complex configuration. Just a simple visual builder.

1

Open the Call Flow Builder

Go to your phone number settings in Phone2 and click "Edit Call Flow." The visual builder shows your routing logic as simple connected blocks.

2

Add your phone menu

Drag in a "Phone Menu" step. Record a greeting, add up to 10 options, and connect each option to a team member, ring group, or voicemail.

3

Set fallbacks and go live

Configure what happens if no one answers—voicemail, forwarding, or AI receptionist. Save your flow and calls start routing immediately.

Capabilities

Give callers a better experience

Smart routing means faster answers, happier customers, and less time wasted on misdirected calls.

Route by time of day

Create different call flows for business hours and after hours. During the day, ring your team. Evenings and weekends, play a custom voicemail or forward to an on-call number.

Answer calls with context

When a call comes in, your team sees which menu option the caller selected. Answer with "Hi, I understand you're calling about billing" — not a generic greeting.

Who Uses This

Smart routing for every team

Small Businesses

Look professional with a phone menu, even if you're a team of two. Route sales vs support without a receptionist.

Sales Teams

Round-robin incoming leads so every rep gets equal opportunities. See caller intent before you answer.

Support Teams

Triage by issue type. Technical questions go to tier 2, billing to accounts. Reduce transfers and resolution time.

Remote Teams

Ring team members on their preferred devices. Forward to mobile when someone's out of office.

On-Call Schedules

After-hours calls forward to the on-call engineer. Rotate automatically or set manual schedules.

Multi-Location

One number for all locations. Route by caller area code, or let them choose: "Press 1 for downtown, 2 for north side."

FAQ

Call routing questions answered

Everything you need to know about setting up phone menus and call flows.

Call routing (also called call flow or IVR) automatically directs incoming calls to the right person or team based on rules you set. Callers can press buttons ('Press 1 for Sales') or be routed by time of day, caller ID, or team availability.

In Phone2, go to your number settings and open the Call Flow Builder. Add a 'Phone Menu' step, record or type your greeting, and assign up to 10 keypad options. Connect each option to a team member, department, or voicemail. It takes about 5 minutes.

Yes. Set your business hours in Phone2, then create separate call flows for each. During hours, calls might ring your team. After hours, they go straight to voicemail with a custom message or forward to an emergency number.

You configure fallback options in your call flow. Options include: send to voicemail with a custom greeting, forward to another number, play an informational message, or route to your AI receptionist (Sona) to take a message 24/7.

Absolutely. With ring groups, you can ring everyone simultaneously (first to answer gets it) or in sequence (ring person A, then B, then C). You control ring duration and who's included.

Phone2 supports both keypad (DTMF) and voice commands. Callers can press '1' or say 'Sales' — whatever's easier for them. Voice recognition works in multiple languages.

Robocalls and spam bots can't navigate phone menus — they can't press buttons or respond to prompts. Adding even a simple menu step filters out the vast majority of spam calls before they reach your team.
